Voice Note to Report

The foreman says what was done in a voice message. The draft report is in the office minutes later.

After work, the technician or foreman sends a voice message, as they already do. The system recognises the speech, matches the message to the site and fills in the document the team most hates writing: a completed-work report, a handover protocol, a materials-used report or a daily safety-briefing record. The draft goes into the site folder and to the person in the office who checks and signs it. We start with one document type and add the next once the first one works.

How it works

  1. The foreman sends a voice message to the company’s business number on WhatsApp or Viber.
  2. The system recognises the speech and links the message to the site and to the person who sent it.
  3. It fills the document template on your letterhead and flags any field the message did not mention.
  4. The draft goes to the responsible person in the office, who corrects, approves and signs it.
  5. The signed document is saved to the site folder and sent to whoever needs it.

What stays with a person

  • A person checks and signs every document. The system writes only the draft.
  • Documents that the law requires a specific person to sign, such as the construction acts and protocols under Bulgarian Ordinance No. 3/2003 and the safety-briefing register, stay drafts until that person signs.
  • When a required field is missing from the message, the system leaves it blank and flags it.

Data and hosting

  • Employees’ voices are personal data, so we sign a data processing agreement (GDPR Art. 28) with every client.
  • Recordings and documents are stored in the EU.
  • Voice recordings are kept only as long as the contract states, then deleted.

How the setup runs

4 weeks: 2 weeks of setup and 2 weeks in parallel

  1. Week 1: Document and template

    We pick the document that takes the most time and build the template from your real examples.

  2. Week 2: Number and sites

    We connect the business number, the sites and the field staff, and try it on the first real messages.

  3. Weeks 3–4: Parallel run

    For two weeks the office works as before while the system drafts alongside. We compare both before you switch over.

These are standard starting prices in euro, excluding VAT. The exact price depends on the number of people, documents and connections to your systems, and you receive it in writing after the first call.

Questions

Do the foremen need to install anything?

No. They send a voice message in the app they already use. There is no new account, password or form.

Does it understand trade terms and site names?

We set it up with your sites, materials and abbreviations from real examples. During the two parallel weeks we correct what it mishears, and every draft passes a person before it is signed.

What about documents a named person must sign by law?

The system prepares the draft. The act or protocol stays a draft until the person the law names has reviewed and signed it.

Can we start with several documents at once?

We start with one, because that is how the team gets used to it and how we see where the system makes mistakes. Each further document type is added from EUR 590.
